1Information We Collect

When a clinic registers on our platform, we collect operational and administrative details necessary to deliver automated appointment booking services:

• Clinic & Branch Information: Clinic name, physical branch address, phone number, logo, and timezone.
• Practitioner Schedules: Doctor names, medical specialties, shift hours, room allocations, and service durations.
• Patient Booking Records: Patient name, phone number (for WhatsApp confirmations), email, selected service, appointment time, and visit status.
• Billing Metadata: Subscription status, module add-ons, invoice records, and transaction IDs (no credit card or bank credentials are ever stored on our servers).

We process data strictly to provide, maintain, and secure the booking platform for your clinic:

3WhatsApp Cloud API & Messaging Privacy

For clinics using the optional WhatsApp Notification Engine module:

• Messages are dispatched directly through Meta’s official WhatsApp Cloud API under your clinic’s registered WhatsApp Business phone number.
• Message templates are strictly restricted to appointment confirmations, reminders, and cancellation notifications. We never send unsolicited marketing or third-party advertisements.
• Patients may reply "STOP" at any time to opt out of automated WhatsApp reminders.

4Data Retention & Export Rights

Your clinic owns all patient records and appointment logs. You retain the right to export your complete database in CSV or JSON format at any time from your admin dashboard. Upon account closure, all tenant data is purged from our production databases within 30 days.
